SupplyLoop ("we", "us") provides an estimating, procurement, and materials workspace for construction teams. Contractors and quantity surveyors use SupplyLoop to price BOQs, read drawings, search building materials, request supplier quotes, place orders, and manage project procurement. This policy explains what we collect and why.
Information we collect
- Account details — your name, email or phone number, role, company or workshop name, market, city, and account settings.
- Project and procurement data — project names, client/site details, BOQs, drawing files, takeoff documents, RFQs, quotes, orders, delivery details, invoices, payment status, approvals, and related notes entered into the workspace.
- Supplier information — supplier applications, company details, catalogue items, inventory, offers, bid history, fulfilment updates, tax details, and settlement information.
- Files and AI processing data — documents, drawings, page images, extracted line items, prompts, responses, and derived measurements used to power BOQ extraction, drawing takeoff, matching, and Sidekick answers.
- Device notification token — so we can send you account, RFQ, order, approval, delivery, and project alerts.
- Operational delivery data — where delivery workflows are used, we may collect pickup/dropoff details, status updates, proof-of-delivery photos, and location information needed to fulfil the order.
How we use it
To create and secure accounts; run estimating, takeoff, RFQ, ordering, approval, payment, fulfilment, and settlement workflows; send notifications; process documents with AI; improve search and matching; support users; prevent abuse; and operate the service. We do not sell your personal data or use it for third-party advertising.
Sharing
Project and order details are shared only with the people needed to run the workflow, such as invited teammates, relevant suppliers, delivery partners, payment providers, storage providers, and AI or infrastructure processors that help operate SupplyLoop. We may also share data where required by law.
Data retention & security
We keep account, project, order, invoice, and supplier records for as long as your account is active and as required for tax, audit, legal, and operational purposes. Takeoff page images and generated document assets may be purged on a shorter schedule where the product supports it. Data is stored on secured infrastructure with access limited to authorised staff and service providers.
Your choices
You can turn off notifications from your device settings. You can also ask us to access, correct, export, or delete account data, subject to records we need to keep for legal, tax, fraud-prevention, or dispute purposes.
